Terms and Conditions
These terms and conditions govern all bookings for corporate massage services provided by Zest at Work. By confirming your booking, you agree to these terms.
Definitions
For the purposes of these terms and conditions:
"Zest at Work" refers to our registered business providing corporate massage services.
"Booking Party" means any company, organization, or individual that books treatment sessions from Zest at Work.
"Employee" means an employee or team member of the Booking Party for whom the treatment session was booked.
"Client" means the Booking Party and the Employee(s) together.
"Premises" means the Booking Party's office, workplace, or other location where the treatment session takes place.
"Treatment Session" means a scheduled visit to the Premises for the purpose of providing massage services to Employees.
Making a Booking
How to Book
Online Booking System
Unless otherwise agreed, all bookings are made through our online booking platform at www.zestatwork.ie. Employees can select their preferred appointment times directly through this system.
Booking Confirmation
Once a booking is confirmed by the Booking Party these terms and conditions apply.
Technical Support
If you experience any technical issues with the booking system, please contact us immediately at hello@zestatwork.ie so we can resolve the issue promptly.
Email Notifications
Important: Please add noreply@zestatwork.ie to your safe list or whitelist. This address is used for all automated confirmation and reminder emails sent to Employees.
Additional Hours
Our standard day is 6 hours of treatment time. If additional time is required we can accommodate this on request at a rate of €80 ex VAT per additional hour (or part thereof)
Out of Area Service
Additional mileage charges may apply for locations outside the standard Dublin area. Please contact hello@zestatwork.ie for a specific quote.
Payment Terms
Invoice Period
All accounts must be settled in full within 30 days of invoice date.
Late Payment
In the event of late payment, Zest at Work is entitled to charge interest at 3% above the Bank of Ireland base lending rate on all outstanding amounts until payment is received in full.
Payment Methods
We accept bank transfer, company check, and major credit cards (processing fees may apply for card payments).
Cancellations & Changes
Standard Notice Periods
7 Days Notice
Cancellations or changes to booking date/time must be made at least 7 days in advance to avoid cancellation charges.
Under 7 Days Notice
Cancellations or changes made with less than 7 days notice will incur a cancellation fee of 100% of the booking cost.
Peak Period Requirements
Extended Notice Periods For bookings during the following periods, we require 14 days notice for cancellations: • Last week of April • Second week of October These periods have high demand and limited availability, requiring additional notice. Emergency Cancellations Force Majeure We understand that genuine emergencies occur. In cases of: • Building closure (fire, flooding, security incident) • Severe weather preventing safe travel • Public transport strikes affecting accessibility • COVID-19 outbreak in your office (see Health & Safety section) We will work with you to reschedule without penalty. Please notify us as soon as possible. Rescheduling Free rescheduling is available with appropriate notice as outlined above. We'll work with you to find an alternative date that suits your team. ________________________________________ Health & Safety COVID-19 & Infectious Illness Policy Office Outbreaks If there is an outbreak of COVID-19 cases in your office, please notify Zest at Work immediately. Upcoming appointments will be cancelled with no cancellation fee and rescheduled at your convenience. Therapist Health Screening Our therapists conduct regular health checks before visiting client sites. If a therapist has any symptoms on the morning of your scheduled visit or tests positive for COVID-19, your appointments will be cancelled and rescheduled at the earliest opportunity. Employee Health Requirements Employees should never present themselves for treatment if they have: • COVID-19 symptoms • Active coughs or colds • Cold sores • Any other contagious illness or ailment • Fever or acute infection • Pregnancy under 12 weeks or any high risk pregnancy These requirements are outlined in the booking terms and conditions that Employees agree to when booking through www.zestatwork.ie. Contraindications If an Employee presents for treatment and the therapist determines that massage would be contraindicated (not advisable) for health reasons, the therapist will not proceed with the massage. This is for the Employee's safety and wellbeing. ________________________________________ Responsibilities Booking Party Responsibilities Space Provision The Booking Party must provide: • A quiet space approximately 2m x 2m • Reasonable privacy (door or screen) • Access for our therapist and equipment • Appropriate security clearance/visitor protocols Internal Promotion The Booking Party is responsible for promoting the service internally to Employees. Zest at Work will provide promotional images and copy as well as booking instructions: Building Access For buildings with security protocols (IFSC buildings, corporate campuses, etc.), the Booking Party must: • Provide requirements for therapist (ID, online forms) at least 3 days prior to treatment • Provide necessary access codes or badges • Ensure clear directions to treatment room • Ensure the appropriate staff members are available to sign in our team and grant access to the massage room 30 mins prior to first massage. Zest at Work Responsibilities We commit to: • Arriving on time with all necessary equipment • Professional, qualified therapists • Maintaining comprehensive insurance • Respecting your workplace and confidentiality • Providing excellent customer service • Post-session feedback and reporting on request ________________________________________ Equipment & Property Ownership All equipment brought on-site for treatment sessions remains the property of Zest at Work, including: • Massage chairs • Linens and face covers • Any other supplies or materials Care of Equipment Handling Equipment should only be moved by a member of the Zest at Work team or with explicit consent from a team member. Security The Booking Party shall take due care of equipment left on-site between appointments or across multi-day bookings. Insurance A certificate of insurance is available upon request for your records or compliance purposes. ________________________________________ Data Protection & Privacy GDPR Compliance Zest at Work is fully compliant with Irish and EU data protection regulations. Data We Collect • Booking Party contact information • Employee names, phone and email addresses (for booking system) • Appointment times • Health screening information (retained only as required) Data Usage Your data is used solely for: • Service delivery and appointment management • Communication about bookings • Service improvement based on feedback • Invoicing and payment processing Data Storage All data is stored securely on Irish-hosted servers with appropriate encryption and security measures. Data Rights You have the right to: • Access your data • Request corrections • Request deletion (subject to legal retention requirements) • Object to processing Contact hello@zestatwork.ie for any data protection queries. ________________________________________ Limitations & Liability Service Limitations Zest at Work provides professional massage services but: • We are not a medical service and do not diagnose conditions • Massage is not a substitute for medical treatment • Therapists will refer Employees to medical professionals when appropriate • We cannot guarantee specific health outcomes Professional Standards All therapists: • Hold relevant qualifications and certifications • Maintain appropriate insurance • Follow professional codes of conduct ________________________________________ Governing Law & Dispute Resolution Governing Law These terms and conditions are governed by and interpreted in accordance with the laws of the Republic of Ireland. Dispute Resolution Amicable Resolution In the event of a dispute arising from these terms and conditions, both parties shall use all reasonable efforts to resolve the matter amicably. Escalation If a dispute is not resolved within 30 days of written notice being given by either party, the Courts of the Republic of Ireland shall have exclusive jurisdiction. Changes may be made to reflect: • Updated pricing • Service improvements • Legal or regulatory changes • Operational adjustments Notification Significant changes will be communicated to existing Booking Parties via email at least 30 days before taking effect.
